In short
- Patients send “Hi” to the clinic’s WhatsApp number and book by tapping buttons and picking from lists. The only thing they type is the patient’s name.
- Every booking gets a token number and a booking ID, in the chat, straight away.
- Patients check, change and cancel the same way, and a slot never takes more patients than the clinic allows.
- Your own rules decide what patients are offered, and your team sees every appointment in the dashboard.
- WhatsApp booking runs for one doctor per clinic number. TurnDesk sends no reminders and takes no payments.
What the patient does, step by step
This is clinic appointment booking without an app for patients. They message the clinic’s WhatsApp number the way they already do, and mostly tap buttons and pick from lists. Here is the whole booking, in the words patients actually see.
- Send “Hi”. “Hello”, “Hey”, “Namaste”, “Namaskar”, “नमस्ते”, “Menu” or “Start” work too, in any case and even stretched out as “hiii”. Sending one of these at any point starts over.
- The greeting. “Namaste! Welcome to [clinic name].” with three buttons: “Book appointment”, “My appointment” and “Talk to clinic”.
- Who it’s for. After “Book appointment” comes “Who is this appointment for?”, with two buttons: “Myself” or “Family member”.
- The name. The patient types the full name. This is the only step where anything is typed.
- A day. A list of days such as “Today (Wed, 16 Sep)” or “Thursday, 17 Sep”, each showing how many seats are open, for example “3 seats open”.
- A time. A list of open times on that day, such as “6:00 PM - 6:30 PM”.
- Check and confirm. A summary of the patient, date, time and clinic, with “Confirm booking”, or “Change time” to pick another time that day.
The greeting and the name, day and time questions carry a Hindi prompt in Roman script beside the English. The day question, for example, reads “Aap kis din aana chahte hain?” and then “Which day would you like to come?”. Buttons and confirmations are in English.
WhatsApp lists hold up to 10 rows, so the day list shows at most the next 10 open days, and the time list the earliest 10 open times on the chosen day. Patients don’t choose a doctor: every booking goes to the clinic’s one active doctor.
Booking for a parent, a spouse or a child works the same way: tap “Family member” and type their name. Each appointment keeps its own patient name, and one WhatsApp number can hold several upcoming bookings for different people. If you’d like to share these steps with your patients, there is a version written for patients.
The confirmation: token number and booking ID
The moment the patient taps “Confirm booking”, the confirmation arrives in the same chat. Here is a sample of that doctor appointment confirmation message on WhatsApp, laid out the way patients receive it:
APPOINTMENT CONFIRMED
[clinic name]
🎟 Token: 7
Patient: [patient name]
Date: Friday, 25 Sep
Time: 6:30 PM - 7:00 PM
Booking ID: APT-7K2M9Q
Please show this message at the clinic.
How the token number works
The token is the clinic day’s next number, given out in the order bookings are made: 1, 2, 3 and so on. It does not follow the order of appointment times, so a patient who books a morning slot late can hold a higher token than someone who booked the evening earlier. A cancelled token is not given out again that day, so two patients never hold the same number.
TurnDesk doesn’t run a walk-in queue or call tokens out. If you’re weighing the two ways of working, read token system or appointment system: which suits your clinic.
How the booking ID works
Every booking also gets a booking ID such as APT-7K2M9Q: “APT-” followed by 6 letters and digits. The letters I, L and O are left out, because they are easy to mistake for 1 and 0 when someone reads an ID aloud or copies it by hand. Staff can search for a booking ID in the dashboard.
What any appointment confirmation should carry
Whatever system a clinic uses, a good confirmation is short and safe to show at the front desk. It should carry:
- the clinic’s name;
- the patient’s name;
- the date and the time;
- a reference to show at the desk, such as a token number or booking ID.
It should leave out symptoms and diagnoses, because the message stays on a phone that other people may pick up. TurnDesk’s confirmation follows that pattern. It goes only by WhatsApp: there is no SMS or email copy.
Checking, changing and cancelling without a phone call
Patients send “Hi” and tap “My appointment”. It lists every upcoming appointment made from that number at that clinic, each labelled with the patient’s name, date, time and token. A long list is split into pages with a “More appointments” row, and a single appointment opens straight away. With nothing booked, the patient sees “You don’t have any upcoming appointments.” and a “Book appointment” button.
Each appointment opens with its details (patient, date, time, token and booking ID) and two buttons: “Change time” and “Cancel appointment”.
Changing the time
The patient picks a new open day and time from the same lists used for booking, then sees the current and new times side by side and taps “Confirm change” or “Keep current time”. The reply starts “✅ Appointment changed” and repeats the clinic, token, patient, date, time and booking ID.
The booking ID stays the same. The token stays the same if the day stays the same; on another day, the appointment gets that day’s next token.
Cancelling
The patient sees the appointment once more and chooses “Yes, cancel” or “Keep appointment”. The reply, “✅ Appointment cancelled”, gives the booking ID, date and time and ends “The time slot is now available again.” Other patients can book that seat straight away.
Patients can only see, change or cancel bookings made from their own WhatsApp number, and only until the appointment’s time has passed. There is no cancellation cut-off setting. The patient guide to booking, changing and cancelling on WhatsApp covers the same steps from the patient’s side.
Why the same slot can’t be booked twice
When bookings arrive as messages to a person, two patients can easily be promised the same time. To avoid double booking clinic appointments, TurnDesk checks at two points.
- Only open times are offered. The day and time lists show only what still has room under the clinic’s rules.
- Every rule is checked again at the tap. When the patient taps, TurnDesk checks the rules once more before saving anything. If two patients tap the same time at the same moment, the slot still never takes more patients than the clinic allows. The other patient sees “Sorry, this time was just booked by another patient. Please choose another time.” and picks again. If a whole day fills while someone is choosing, they are asked to choose another day.
A few other slips are caught as well:
- If the same number books the same patient name at the same date and time twice, the second booking is refused and no token is used. The patient is shown the appointment they already have, with “View appointment” and “Book another”.
- If a patient taps an old button further up the chat, nothing happens to their bookings; they see “Sorry, that option is no longer active.”
- If Meta delivers the same WhatsApp message twice, TurnDesk handles it once.
Your rules decide what patients are offered
WhatsApp offers only what your schedule allows. The rules live in the dashboard’s settings:
| Setting | What it controls |
|---|---|
| Weekly hours | Up to two sessions a day, for example a morning and an evening session. A day left blank is a day off. |
| One-off changes | For a single date: closed, or open at different hours (one session). |
| Blocked time | Any stretch of dates and times, for the whole clinic or one doctor, with a reason such as a public holiday. |
| Single slots | Block, reserve or reopen one slot. |
| Slot length | How long each slot is, in minutes. The default is 30. |
| Patients per slot | How many patients one slot takes. The default is 1. |
| Appointments per day | A daily limit (the default is no limit), with a different limit for a single date if you need one. |
| Booking window | Either the next N days, or a weekly release: for example, every Saturday at 8:00 the next week’s dates open. |
| Same-day booking | On or off, plus a minimum notice: how soon before a slot a patient can still book it. |
| Timezone | Every date and time follows the clinic’s timezone, Asia/Kolkata by default. |
Rules are set for the whole clinic and can be overridden for a doctor. WhatsApp and the dashboard read the same rules, so a change in the dashboard changes what WhatsApp offers straight away. Only owners and admins can change these settings.
Blocking time or closing a day never cancels existing appointments and never messages patients. Those appointments stay booked, and the dashboard doesn’t show phone numbers, so leave and closures are best set before patients book. There is a short tour of the settings in the dashboard section of our home page.
What the front desk sees in the dashboard
Your team signs in at app.turndesk.in with an email and password, on a desk computer or a phone.
Overview
Today’s appointments with their tokens, what’s coming up, and today’s counts: appointments, new bookings, cancellations, completed, no-shows and open slots. A last-30-days summary adds the busiest day and appointments per doctor. If WhatsApp booking is paused, for example because no doctor is active, the dashboard says so.
Appointments
Filter by date and by status (booked, completed, no-show, cancelled), and search by patient name, booking ID or token number.
Who can do what
| Role | Can do |
|---|---|
| Owner | Everything an admin can, plus managing the team and connecting WhatsApp. |
| Admin | Change settings; cancel an appointment, or move it to a time the schedule really has free; mark visits completed or no-show. |
| Staff | See appointments, mark visits completed or no-show, and see settings read-only. |
Anyone on the team can mark a visit completed or no-show once its time has passed, and correct a wrong mark. Every cancellation, move and mark is recorded with the name of the person who made it.
The owner adds admins and staff with a one-time link, and each person sets their own password. A clinic can have up to 30 accounts. The dashboard shows patients’ names, never their phone numbers.
Two things to know
- No one can create a booking from the dashboard: every booking comes in through WhatsApp. Owners and admins can reserve slots to hold time back.
- Cancelling or moving an appointment in the dashboard does not message the patient, so the clinic needs to let them know another way.
Connecting your clinic’s own WhatsApp number
TurnDesk uses Meta’s official WhatsApp Business Platform (the Cloud API), so appointment booking happens on the clinic’s own WhatsApp number, the one patients already know.
The owner connects it from the dashboard by signing in with Meta, in a window Meta runs (Embedded Signup), and choosing the clinic’s own business and number. No password is shared with TurnDesk, and TurnDesk checks with Meta that the account belongs to that business.
The number can’t be in use in the WhatsApp Business app at the same time, so talk to us before you switch and we’ll help you plan it. Our guide to the WhatsApp Business app vs the WhatsApp Business Platform for clinics explains the difference.
Once it’s connected, the dashboard’s WhatsApp page shows the number and how Meta sees it: the name on WhatsApp, the quality rating and verification. Meta, not TurnDesk, decides display-name approval, business verification, the quality rating and messaging limits, so we can’t say how long any of those take. Setup is done together with TurnDesk; there is no self-signup.
What TurnDesk doesn’t do
Better to know these before you start than after:
- One doctor per number. WhatsApp booking runs for one active doctor per clinic number, and patients can’t choose a doctor. See WhatsApp appointment booking for doctors.
- No reminders. TurnDesk sends no reminders or other messages before a visit. It only replies when a patient writes.
- No payments. It takes no payments, fees or deposits.
- No live chat. “Talk to clinic” just shows the menu again. Staff can’t read or reply to patients’ messages in the dashboard.
- No free text. Typed questions, voice notes and images bring back the menu; only the name step takes typing.
- English and Roman-script Hindi only. Messages are in English, with Hindi prompts in Roman script on a few questions. There is no other language.
- No notices to patients. Cancelling or moving from the dashboard, and blocking time, don’t message patients.
- No walk-in queue. There is no “now serving” display (see token system vs appointment system).
- No integrations. It doesn’t connect to calendars, Practo, EMR or other software.
- No medical advice. It only handles bookings and is not for emergencies (see our Terms of Service).
Patient data on WhatsApp booking
TurnDesk stores only what booking needs: the patient’s WhatsApp number, the names given, the appointments and the current booking step. It never asks for medical information, there is nowhere to enter it, and it keeps no copies of patients’ messages.
- Database hosted in Mumbai, India. Each clinic’s data is kept separate, and one clinic cannot see another’s.
- Encrypted connection details. The clinic’s WhatsApp connection is stored encrypted (AES-256-GCM), and every message is checked to be genuinely from Meta.
- Nothing sold. No ads, no analytics or tracking, and data is never sold.
- The clinic’s data. Under India’s DPDP Act, the clinic is the data fiduciary and TurnDesk its processor. The owner can ask for an export or deletion by emailing hello@turndesk.in.
Meta and our service providers may process some data outside India; the full detail, including who they are, is in our Privacy Policy.
Which clinics it suits
TurnDesk fits a clinic where one doctor sees patients in set hours and patients already message the clinic on WhatsApp.
Doctors with their own clinic
Single-doctor and family-doctor clinics with morning and evening OPD. One doctor takes the WhatsApp bookings.
Child specialists
Parents book for one or more children from one phone, each under the child’s own name. One doctor takes the WhatsApp bookings.
Homeopathy clinics
First visits and follow-ups, booked by patients for themselves or their family. One doctor takes the WhatsApp bookings.
Dental clinics
Treatments over several sittings, each booked as its own appointment. One doctor takes the WhatsApp bookings.
It is a weaker fit where patients need to pick between several doctors on WhatsApp, or where the clinic runs only on a walk-in queue.
Getting started
Setup is done with TurnDesk, in this order:
- TurnDesk creates your clinic and sends the owner a one-time link to set a password.
- The clinic’s details, the doctor, working hours and booking rules go in.
- Your team gets accounts.
- Your WhatsApp number is connected.
- Patients say Hi.
To begin, email hello@turndesk.in with your clinic’s name and city, the doctor and usual hours, and how patients book today. Pricing is agreed with you in writing before anything is charged. The same steps are on the home page, under how TurnDesk works.
Questions clinics ask
Does WhatsApp have appointment booking built in?
The free WhatsApp Business app lets staff reply to patients, but it doesn’t keep a list of your open times or stop two patients taking the same slot, so each booking is handled by hand. Booking that runs by itself in the chat needs software connected through Meta’s WhatsApp Business Platform. TurnDesk is that kind of software.
Can patients keep messaging our existing clinic number?
Yes. TurnDesk runs on your clinic’s own WhatsApp Business number through Meta’s official platform, so patients don’t have to learn a new number. The number can’t be in use in the WhatsApp Business app at the same time, so talk to us before you switch and we’ll help you plan it.
Can patients choose which doctor to see?
No. WhatsApp booking runs for one active doctor per clinic number. With no active doctor, or more than one, patients are told the clinic is not accepting appointments, and the dashboard shows that booking is paused.
Can patients book when the clinic is closed?
Yes. Patients can message at any hour and book any time your rules have open. Days off, one-off closures and blocked time are never offered.
Can reception add phone-in or walk-in patients to the same schedule?
No. Every booking comes in through WhatsApp. An owner or admin can reserve or block single slots so WhatsApp doesn’t offer them, which keeps time free for patients you see another way.
Does TurnDesk send appointment reminders?
No. Patients get their confirmation in the chat straight away, and can check it any time by sending Hi and tapping My appointment.
