For child specialists

WhatsApp appointment booking for child specialists and pediatric clinics

Parents book, check, change and cancel their children’s appointments on your clinic’s own WhatsApp number, for one child or several from one phone. There is no app to install and no new number to learn: parents use the WhatsApp chat they already have, and your team runs the day from one dashboard.

WhatsApp booking runs for one active doctor per clinic number, so it suits a practice where one child specialist takes the WhatsApp bookings.

What changes for parents and the front desk

For parents

A parent can book while looking after an unwell child, or late at night after work, without waiting on a busy line. Your clinic’s WhatsApp number takes messages at any hour, even when the clinic is closed, and offers the times your rules leave open.

Looking for a pediatric clinic appointment app? There is nothing for parents to download: they book a doctor appointment for their child on WhatsApp, on your clinic’s own number.

For the front desk

Every booking made in the chat is one less call to take during OPD while children wait. Bookings, changes and cancellations show up in the dashboard, where your team sees today’s list with token numbers, finds a child by name, booking ID or token, and marks each visit completed or no-show.

Booking for a child in a few taps

Parents tap buttons and pick from lists. The only thing they type is the child’s name.

  1. The parent sends “Hi” to your clinic’s WhatsApp number and taps Book appointment.
  2. At “Who is this appointment for?” they tap Family member.
  3. The chat asks “Mareez ka poora naam likhein. / Please type the full name.” and the parent types the child’s full name.
  4. They pick a day, then a time. Only open days and times are offered.
  5. A summary shows the patient, date, time and clinic. They tap Confirm booking, or Change time to pick again.

The confirmation arrives straight away with the child’s name, the date and time, a token number and a booking ID such as APT-7K2M9Q.

A sample chat. The clinic, the child’s name, the date, time, token and booking ID are made up; the messages and buttons are the booking assistant’s own wording.

Tokens run 1, 2, 3 in the order bookings are made, not by appointment time. To compare the two approaches, read token system or appointment system: which suits your clinic.

Tip for clinics: ask parents to type the child’s full name the same way every time. It is how your desk finds the child in the dashboard.

Two or three children, one phone

Each child is a separate booking with its own name, token number and booking ID, and one WhatsApp number can hold several upcoming bookings.

Under My appointment, the parent sees them all, each labelled with the child’s name, date, time and token, and paged with a More appointments row when the list is long. Tapping one offers Change time and Cancel appointment.

Siblings can share a time only if your clinic allows more than one patient per slot; otherwise the parent books back-to-back slots.

If the same name is booked twice into the same time from the same phone, the second booking is refused without using up a token.

Who can see and change a child’s appointment

Only the WhatsApp number that made a booking can see, change or cancel it. Another parent or a grandparent can book from their own number, but they won’t see the bookings made from yours.

Parents can change or cancel until the appointment’s time has passed, and a cancelled time is open to other parents straight away.

Owners and admins can also move or cancel an appointment from the dashboard, but TurnDesk doesn’t message the parent when they do, so tell the family another way.

Setting up a child specialist’s day

Owners and admins set the rules in the dashboard, and WhatsApp offers parents only the times those rules leave open. For a paediatric practice, a set-up might look like this (the hours are only an example):

  • Two sessions a day, such as a morning session and an evening session after school hours.
  • Same-day booking on, with a short minimum notice, for the days a child falls ill.
  • A daily limit on appointments.
  • Reserved slots to keep time for children you fit in at the desk. WhatsApp doesn’t offer them.
  • Blocked time for hospital rounds or a conference. Appointments already booked in it stay booked, and parents aren’t told.
  • A weekly release, if you open next week’s dates on a fixed day.

For the full list of rules, read how a WhatsApp appointment booking system works for a clinic.

What it won’t do for a pediatric clinic

TurnDesk only handles bookings. To be clear about the rest:

  • No vaccination schedules, due-date tracking or reminders. Parents book each visit themselves.
  • No medical advice, symptom checking or emergency use. In a medical emergency, contact emergency services or go to the nearest hospital.
  • No payments. Fees aren’t collected through TurnDesk.
  • One doctor per clinic number, so parents can’t choose between doctors on WhatsApp.
  • English with Hindi prompts in Roman script only, on the greeting and the name, day and time questions.
  • No chat with staff. “Talk to clinic” shows the menu again, and staff can’t read or answer messages in the dashboard.

Parents’ and children’s data

TurnDesk stores only what booking needs: the parent’s WhatsApp number, the names given, the appointments and the current booking step. It never asks for medical information, and the dashboard shows children’s names but never phone numbers. The database is hosted in Mumbai, India, and under India’s DPDP Act your clinic is the data fiduciary and TurnDesk its processor; read our Privacy Policy and how a WhatsApp booking system handles patient data.

Bring WhatsApp booking to your clinic

TurnDesk is live at a clinic in India and already taking real bookings, and we set up each clinic with you. Contact TurnDesk with your clinic’s name and city, the doctor and usual working hours, and how parents book with you today. Your WhatsApp number can’t stay in the WhatsApp Business app at the same time; we help you plan that switch. Pricing is agreed with each clinic in writing before anything is charged.

Once you are live, share our guide to booking, changing or cancelling a doctor’s appointment on WhatsApp with parents. For the full picture, read how WhatsApp appointment booking works for a clinic, see WhatsApp appointment booking for doctors who run their own clinic, or look at what TurnDesk does for clinics.

Questions from pediatric clinics

Can a parent book for two or more children from one phone?

Yes. Choose Family member and type each child’s full name. Each child gets their own booking, token number and booking ID, and My appointment lists them all by name.

Can siblings get the same appointment time?

Only if the clinic allows more than one patient per time slot. Otherwise, book them into back-to-back times.

Can my spouse change a booking I made?

Not from another phone. Appointments can be seen, changed or cancelled only from the WhatsApp number that booked them.

Will parents get vaccination reminders?

No. TurnDesk doesn’t track vaccination schedules or send reminders. Parents book each visit themselves and can check it any time under My appointment.

Can a parent book for today if a child falls ill?

Yes, if the clinic has same-day booking switched on and a time is still open with enough notice. TurnDesk is not for emergencies: in a medical emergency, contact emergency services or go to the nearest hospital.

What name should parents type?

The child’s full name, typed the same way each time. Each booking keeps the name it was made with, and a second booking for the same name at the same time from the same phone is refused.
