For doctors

WhatsApp appointment booking for doctors who run their own clinic

For general physicians, family doctors and any practice in India where one doctor takes the bookings. Patients book your OPD slots on your clinic’s own WhatsApp number and get a token number and a booking ID. You or your receptionist run the day from one dashboard, and patients have no app to install. WhatsApp booking runs for one active doctor per clinic number.

A familiar OPD day

If you want to reduce phone calls at your clinic reception, start with what those calls are for. In most single-doctor clinics the bookings live in a register at the desk. The phone rings through the morning OPD and again in the evening, often while the doctor is with a patient. One caller wants a number for today (“number lagana hai”), another wants to know whether the doctor is in today, and a third wants to move tomorrow’s visit. Each change is crossed out and written in again by hand.

With doctor appointment booking on WhatsApp, patients do those jobs themselves, at any hour, even after the clinic has closed for the night. They send “Hi” to your clinic’s number, tap Book appointment, pick a day and a time from lists of what is actually open, and get the confirmation in the chat. From My appointment they can check a booking, change the time or cancel it, and a cancelled seat can be booked by another patient straight away.

Patients mostly tap buttons; the only thing they type is the patient’s name. Messages are in simple English, with Hindi prompts in Roman script beside the main questions, such as “Aap kis din aana chahte hain?”

It won’t stop every call. TurnDesk handles bookings only, and patients can’t chat with your staff through it, so questions about fees or reports still come to the desk. What WhatsApp booking for doctors takes off the reception phone is the booking itself.

Your sessions, your days off

You set the doctor’s working week in the dashboard. Each day takes up to two sessions, such as a morning OPD and an evening OPD, and a day you leave blank is a day off.

One-off changes cover a single date: closed all day, or open at different hours, for example when the doctor is at a conference in the morning and sits only in the evening.

Blocked time covers any stretch of dates and times, for the whole clinic or for the doctor, with a reason such as leave or a public holiday. Every change reaches WhatsApp straight away: from the moment you save, patients are no longer offered closed or blocked times.

Plan for one thing. Appointments already booked in time you close or block stay booked, and TurnDesk doesn’t message those patients. The dashboard shows patients’ names but not their phone numbers, so block leave as early as you can, before patients book those times, and plan how you’ll reach anyone who has already booked.

Token numbers patients already understand

Every booking gets the day’s next token number: 1, 2, 3 and so on, in the order the bookings are made. It also gets a booking ID such as APT-7K2M9Q, which leaves out the easily misread letters I, L and O. Both are in the WhatsApp confirmation, which ends “Please show this message at the clinic.”

Tokens help most when a slot takes several patients. If a 30-minute slot takes 4, the desk can see from the tokens who booked first and call them in that order, if that order suits you.

TokenWhen the booking was madeAppointment on Tuesday
1Sunday, 9:10 PM6:00 PM - 6:30 PM
2Monday, 8:05 AM10:00 AM - 10:30 AM
3Monday, 7:40 PM6:00 PM - 6:30 PM
4Tuesday, 7:15 AM10:00 AM - 10:30 AM

An example Tuesday with 30-minute slots that take up to 4 patients each. The times are made up; the numbering rule is TurnDesk’s.

A token is not a live queue. There is no “now serving” display or waiting-time estimate, and token order follows booking order, not appointment time: in the example, the 10:00 AM patients hold tokens 2 and 4, and the 6:00 PM patients hold 1 and 3. A cancelled token isn’t given out again that day, and an appointment moved to another day gets that day’s next token.

Decide how full a day gets

  • Daily appointment limit. Cap the day, and set a different limit for a single date, such as a day you leave early.
  • Same-day booking. On or off.
  • Minimum notice. How soon before a slot a patient can still book it.
  • How far ahead. A rolling window of the next N days, or a weekly release, for example every Saturday at 8:00 the next week’s dates open.
  • Slot length and patients per slot. Slot length in minutes (30 by default) and how many patients each slot takes (1 by default).

Set these once for the whole clinic. Slot length, patients per slot, how many days ahead, notice and the daily limit can also be changed for the doctor. WhatsApp and the dashboard use the same rules, and they are checked again at the moment a booking is confirmed, so a slot never takes more patients than you allow.

WhatsApp lists hold 10 rows, so patients see the next 10 open days, each with how many seats are open, and then the earliest 10 open times on the day they pick. On a long day with short slots, later times show up as earlier ones fill.

What the receptionist does now

The Overview shows today’s appointments with their token numbers and what’s coming up, alongside today’s counts: appointments, new bookings, cancellations, completed, no-shows and open slots. On the Appointments page the desk can filter by date and status and search by patient name, booking ID or token, which is quick when a patient holds up their WhatsApp confirmation.

After a visit’s time, any account can mark it completed or no-show, and correct a wrong mark. Each mark is recorded with the name of the person who made it.

Owners and admins can also move an appointment to a time that is really free, or cancel it. TurnDesk doesn’t message the patient about either, so tell them another way. Give the Admin role to anyone who should move or cancel appointments; the Staff role sees appointments and marks visits, and can view settings but not change them.

Phone numbers are never shown. The dashboard works on a desk computer or a phone, and each team member gets their own account through a one-time link, up to 30 accounts per clinic. See what the TurnDesk dashboard looks like on our home page.

Walk-ins and phone-in patients

Many general physician clinics in India see walk-in patients alongside booked ones. TurnDesk doesn’t record walk-ins, and no one can book on a patient’s behalf from the dashboard: every booking comes in through WhatsApp.

To keep room for those patients, an owner or admin can reserve or block single slots. WhatsApp doesn’t offer them, and any appointment already in one stays as it is. Keep your usual walk-in method alongside; if you hand out paper tokens, use a separate series so they aren’t confused with WhatsApp tokens.

When someone phones to book, you can ask them to send “Hi” to the clinic’s WhatsApp number. A son or daughter can book for a parent from their own phone by choosing Family member; only that phone can then change or cancel the booking.

One doctor per WhatsApp number

TurnDesk is made for WhatsApp appointment booking in a single-doctor clinic: it needs exactly one active doctor. With none, or with more than one, patients who message are told “Sorry, the clinic is not accepting appointments right now. Please contact the clinic.” and the dashboard warns that WhatsApp booking is paused.

So a visiting consultant who comes in on Thursdays can’t be offered separately on WhatsApp, and patients can’t choose between doctors. If you share the clinic with another doctor, tell us how you work and we’ll say plainly whether TurnDesk fits today.

Before you switch from the register

Whether or not you choose TurnDesk, settle these before you replace the appointment register in your clinic:

  • Pick a slot length from your usual consultation time.
  • Decide patients per slot and a daily cap that leave room for walk-ins and follow-ups.
  • Decide on same-day booking and notice. Can a patient book an hour before the evening OPD, or only until the night before?
  • Plan how walk-ins fit: which slots you hold back, and how the desk numbers walk-in patients.
  • Tell patients. Put the clinic’s WhatsApp number and “Send Hi to book” on a sign at reception, and share our patient guide to booking, changing or cancelling a doctor’s appointment on WhatsApp.
  • Plan the move of the WhatsApp number. It can’t be in the WhatsApp Business app at the same time as TurnDesk, so choose when to switch and how you’ll tell regular patients.

Start with TurnDesk

TurnDesk is live at a clinic in India and already taking real bookings. We set up each clinic together with its owner. Email hello@turndesk.in with:

  • your clinic’s name and city;
  • the doctor and your usual OPD hours;
  • how patients book with you today.

We create your clinic and send you, the owner, a one-time link to set your password. Your hours and booking rules go in, your team gets accounts, and you connect the clinic’s number by signing in with Meta, without sharing a password with us. Then patients just say Hi. Pricing is agreed with you in writing before anything is charged.

TurnDesk keeps only what booking needs, in a database hosted in Mumbai, India, and doesn’t ask for medical information. For the full picture, read how WhatsApp appointment booking works for a clinic, or see how TurnDesk is set up, step by step.

Questions doctors ask

What happens to bookings when I’m on leave?

Close those dates or block the time in the dashboard, and WhatsApp stops offering them straight away. Appointments already booked in that time stay booked and patients aren’t messaged. The dashboard doesn’t show phone numbers, so block leave as early as you can and plan how you’ll tell anyone already booked.

Can I keep some time free for walk-ins?

Yes. An owner or admin can reserve or block single slots so WhatsApp doesn’t offer them. Walk-in patients aren’t entered into TurnDesk, so keep your usual walk-in method for them.

How many patients can book the same time?

As many as you allow. Patients per slot is 1 by default, and you can raise it for the whole clinic or for the doctor. A slot never takes more patients than you set, even when two patients tap at the same moment.

Can a visiting consultant take WhatsApp bookings on the same number?

No. WhatsApp booking works for one active doctor per clinic number, and patients can’t choose between doctors.

Can patients pay the consultation fee on WhatsApp?

No. TurnDesk handles bookings only and doesn’t collect fees, deposits or payments.

Can my receptionist use it on a phone?

Yes. The dashboard at app.turndesk.in works on a front-desk computer or a phone. Each person signs in with their own email and password, and a sign-in lasts at most 12 hours. The Staff role sees appointments and marks visits; give the Admin role to anyone who should move or cancel appointments.
