A practice built on follow-ups
Many homeopathy practices run on repeat visits. The pattern below is an illustration of how such a practice often works, not data from any clinic:
- a first consultation, then a follow-up every few weeks while treatment goes on;
- families in which parents, children and grandparents all see the same homeopath;
- patients phoning the clinic to ask when their next date is, or to move it.
Each of those calls has to be answered by someone at the clinic, often in the middle of a session. With WhatsApp booking, patients book the next visit themselves, at any hour, including when the clinic is closed. They can check it under My appointment, and change or cancel it without calling. Every booking, change and cancellation shows up, with its token number, in the TurnDesk clinic dashboard.
Booking the next follow-up
The patient uses the WhatsApp chat they already have with your clinic. There is no app to install, and the only thing they type is the patient’s name.
- Send Hi (Hello, Namaste or Menu work too) and tap Book appointment.
- Choose Myself or Family member, and type the patient’s full name.
- Pick a day, then a time. Only days and times that are still open are offered.
- Check the summary of patient, date, time and clinic, and tap Confirm booking.
The confirmation arrives in the chat straight away, with a token number and a booking ID
such as APT-7K2M9Q, and ends “Please show this message at the
clinic.” The greeting and the name, day and time questions carry Hindi prompts in
Roman script beside the English, such as “Aap kis din aana chahte hain? / Which day
would you like to come?”
Plan around the 10-day list
The day list shows at most the next 10 days that have open times, and only days inside your booking window. So a follow-up due in a month is usually booked closer to the date, not at the end of today’s visit. If you release dates weekly, a follow-up can be booked once its week opens.
A simple habit helps: at the end of each visit, ask the patient to send Hi a week or so before the next one is due. TurnDesk sends no reminders, so every booking starts with the patient’s own message.
First consultations and follow-ups share one slot length
In many homeopathy clinics a first consultation runs longer than a follow-up. TurnDesk has no separate slot types for this, and it is better to know that before you start.
Slot length is set in minutes for the whole clinic or for one doctor (30 unless you change it), and every slot offered on WhatsApp is that length. There are no separate new-case slots, and TurnDesk doesn’t record whether a booking is a first visit or a follow-up. An owner or admin can choose one of these approaches:
| Approach | How to set it up | Keep in mind |
|---|---|---|
| Slots long enough for a first visit | Set the slot length to suit a first consultation, so every slot fits one. | Follow-ups get the same length, so fewer patients fit in each session. |
| Fixed times kept for new patients | Leave that time out of the doctor’s working week, or reserve single slots in the dashboard, so WhatsApp doesn’t offer them. Arrange new-patient visits directly. | Those visits happen outside TurnDesk and don’t appear in it. Reserved slots are set one at a time, with no weekly repeat. |
| More than one patient per slot | Set patients per slot to two or more, so short follow-ups share a slot. | First visits share slots too, because TurnDesk can’t tell them apart. |
A daily limit on appointments can sit on top of any of these, so the day never takes more patients than your homeopath wants to see.
Whole families, one WhatsApp number
Often one person books for the whole household. They tap Family member and type that person’s full name. Each person gets their own booking, with their own name, token number and booking ID, and My appointment lists every upcoming booking made from that phone with the patient’s name, date, time and token.
The same name can’t be booked twice into the same time from that phone; a second try shows the appointment that already exists. Only the phone that made a booking can see, change or cancel it. To show families how it works, share our patient guide on how to book, change or cancel a doctor’s appointment on WhatsApp.
Clinic days and hours
Your homeopath’s week is set in the dashboard, and WhatsApp offers only the times it leaves open:
- Up to two sessions a day, such as a morning and an evening session. A day left blank is the weekly day off.
- One-off changes for a single date: closed all day (for example, for a seminar) or open at different hours.
- Blocked time for festivals and public holidays, for the whole clinic or one doctor, with a reason.
- A daily limit on appointments, with a different limit for a single date if you need one.
- The booking window: a rolling number of days ahead, or a weekly release, such as next week’s dates opening every Saturday at 8:00.
- Same-day booking on or off, with a minimum notice before a slot.
Changes apply on WhatsApp straight away. But blocked time, a day off or a closed date doesn’t cancel bookings already made for that time, and TurnDesk doesn’t message those patients. Block festival and seminar dates early, before patients book into them. For the full set of rules, read how a WhatsApp appointment booking system works for a clinic in India.
Booking software, not homeopathy practice software
If you are comparing practice-management suites, here is the plain answer. TurnDesk has no case-taking, case history, repertory, remedy, prescription, dispensing, patient billing or patient-record features, and no integrations with other software. Keep your records where they are today, on paper or in the software you already use. TurnDesk only puts appointments in order: who is coming, on which day, at what time, with which token.
In the dashboard your team sees today’s appointments with token numbers, finds a booking by patient name, booking ID or token, and marks each visit completed or no-show after its time. Owners and admins can cancel an appointment or move it to a free time, but TurnDesk doesn’t message the patient when they do. Staff can’t create bookings from the dashboard: every booking comes in through WhatsApp.
Keeping patient details out of the chat
The booking assistant never asks about symptoms, and there is nowhere to enter them. The only thing a patient types is a name; any other typed message, voice note or image just brings back the menu. TurnDesk keeps no copies of patients’ messages, gives no medical advice and is not for emergencies.
It stores only what booking needs: the patient’s WhatsApp number, the names given, the appointments and the current booking step. The dashboard shows patients’ names but never their phone numbers, and each clinic’s data is kept separate from every other clinic’s. The database is hosted in Mumbai, India. The TurnDesk Privacy Policy sets out the details.
Starting with TurnDesk
Setup is done with TurnDesk. We create your clinic, your homeopath’s hours and booking rules go in, your team gets accounts, and the owner connects the clinic’s WhatsApp number through Meta. The number can’t stay in the WhatsApp Business app while TurnDesk uses it; we help you plan that switch. Pricing is agreed with each clinic in writing before anything is charged.
To begin, contact TurnDesk with your clinic’s name and city, your homeopath’s usual hours, and how patients book with you today. Questions homeopaths ask
Can patients book their next follow-up on WhatsApp?
Yes. They send Hi, tap Book appointment and choose a day and time. The day list shows at most the next 10 days with open times, so a visit due weeks away is usually booked closer to the date.
Can new patients get a longer first consultation?
Not as a separate slot type. Every WhatsApp slot has the same length, and TurnDesk doesn’t know whether a booking is a first visit or a follow-up. You can set the slot length to suit a first consultation, or reserve set times for new patients and arrange those visits directly.
Can follow-up patients share a slot?
Yes, if you set more than one patient per slot. Every slot on WhatsApp then takes that many patients, first visits included, because TurnDesk doesn’t tell first visits and follow-ups apart.
Will TurnDesk remind patients when a follow-up is due?
No. TurnDesk doesn’t send reminders. Patients book each visit themselves and can check it any time under My appointment.
Does TurnDesk store case history or remedies?
No. It handles appointments only. It has no case-taking, remedy, prescription or patient-record features.
Can patients describe their symptoms in the chat?
The booking assistant only handles booking. It never asks about symptoms, gives no medical advice, and any typed message other than the patient’s name brings back the menu.
